* The building needs of Administrative Services was discussed. Janet is
coordinating all of the plans from the various teams. Diane and Pam
will work on a proposal to give to the Dean by Mar. 3. The following issues
should be addressed: square footage needs, access needs, various types
of space (rooms) needed, basic layout.
* The Dean needs the proposal for an additional staff person by Mar. 3.
It is proposed that we ask for an Office Manager or a Coordinator of
Administrative Services. Diane is checking the official University job
descriptions for each of those positions. The Dean suggested that this
person should act as a receptionist as well as an office manager.
* Pam is asking Kathy about GA availability for summer for the front
desk.
* The Dean reminded everyone that front desk coverage is especially
important at the end of the semester.
* Several suggestions were made for improvements to work flow/traffic
flow:
-TSS is investigating the possibility of relocating the faculty
mailboxes to Rm. 256, along with the photocopier and
faculty printer.
-A sign will be posted near the front desk asking people to
check in at the front desk before going back to see one of the
deans or Marion.
-In-boxes for the administrative staff and the deans will be
installed at the front desk.
-The possibility of realigning the front desk so as to encourage
people to check in there first is being investigated.
-The possibility of installing a glass door leading back to the
deans' offices is being investigated.
-All of this should be communicated to the faculty in a timely
manner, and their input should be sought on relocating the
facult mailboxes.
* The Dean indicated the need for someone to serve as Diane's backup
when Diane is sick or on vacation. Someone needs to check the Dean's out-box
regularly.
