    I. ADMINISTRATIVE SUITE · The team discussed that no separate lounge is needed in the administrative suite. Capps suggested that the Administrative Services Team look at each teams' infrastructure plans for the administrative suite. Also the team reviewed the suite's floor plan and recommends (1) there needs to a bathroom (2) the possibility of a connecting door between the executive seretary and deans offices. (3) noted that there is no entrance door on floor plan /needs to be added to plan. In addition, only the deans' and executive secretary will be located on the 3rd floor; there will not be rooms or offices for classrooms or support staff. · Capps explains to the team that the 3rd floor's dimensions extends more lengthwise than widthwise and that it doesn't stretch out to the western lawn however the addition to the 2nd floor will. · The team discussed the need for additional faculty conference rooms that will hold approximately 30 or more people; these conference rooms could double up as classrooms. · It was noted that the stairs and elevator would take up space on the 3rd floor. II. TIME SHEETS & PAY AND LEAVE REPORTS · Team decided to discuss these items at the next meeting and needs to be placed on the agenda. · Trotter discusses the problems he has encountered. (1) GAs (exempt employees) not turning in the half timesheets. (2) Needing a way to check what checks are coming out each pay period. (3) Distributing and turning in the timesheets.

  6. New Business:
    · Jenkins suggested the need for more instruction about how to post information on Netscape's Vacation Calendar. Capps stated that what probably needs to be done about the calendar problems is (1) Review the viewing rights of people. · Dean Robbins stated that it needs to be made clear that putting vacations on the calendar mean that the vacation has been approved. Vacation calendar need to be looked at as a decision document, or for planning purposes. The calendar needs to be made a procedure. · Dean Robbins recommends that the team look at other options such as using signs, notes or calendars on doors to inform others when they are out of the office. · It was suggested that Netscape Calendar be discussed at the next faculty meeting with possibly a demonstration. · Capps recommends that people include as title, their last name and first initial when scheduling vacation time on the calendar.
